News from the Virginia Conference - June 3, 2016 - Special Annual Conference Edition

'Thy Will Be Done' is theme of 2016 Annual Conference
The 234th session of the Virginia Annual Conference will be held June 17-19 at the Berglund Center in Roanoke. Theme of the 2016 Annual Conference is “Thy Will Be Done.” The logo was developed by Cathryn Huff, contract graphic designer for the conference Communications office. Information about this year’s session, including an agenda, is available on the conference website at www.vaumc.org/AC2016. Preacher for the ordination service will be Bishop Mark Webb from the Upper New York Annual Conference. Preacher for the Saturday morning mission service will be the Rev. Eun Pa Hong from Bupyeong Methodist Church in South Korea. Preacher for the Friday evening memorial service will be the Rev. Myrtle Frances Hatcher, pastor of Main St. UMC, Suffolk, James River District. Preacher for the retirement service will be the Rev. Jim Tongue. Annual Conference teacher will be Dr. L. Photos to be taken at Annual Conference for pictorial directory
This year the Virginia Conference will publish a new online Pictorial Directory of the Virginia Conference Ministry featuring photos of all clergy, diaconal ministers, certified professionals, those serving as pastoral supply, retired bishops and conference staff. Remember Church Directories will have a booth in the exhibit hall at Annual Conference from 8 a.m. to 6 p.m. on Friday, June 17, and Saturday, June 18, to take photos. All clergy (active and retired), diaconal ministers, certified professionals, those serving as pastoral supply, retired bishops and conference staff attending Annual Conference are asked to go to the booth during those times to have your photo taken. No reservations are needed. Two photographers will be available, so there should not be long waits. Watch Annual Conference via live stream on website, Facebook
Live streaming of the 2016 Virginia Annual Conference will be available, beginning at 1 p.m. Friday, June 17, from the Virginia Conference website, www.vaumc.org, and from the Virginia Conference Facebook page, www.facebook.com/vaumconf. Or go directly to https://livestream.com/VAUMC/AC2016. The live streaming will show all sessions of the three-day conference, including worship at 11 a.m. Sunday, June 19, when Bishop Young Jin Cho will preach.

Your congregation can participate in Annual Conference Sunday morning worship
Local churches may show the live stream video of the Annual Conference closing worship service at 11 a.m. Sunday, June 19, and have the congregation participate with Annual Conference members in Sunday morning worship. Bishop Young Jin Cho will preach. The liturgy for the service is posted on the conference website and can be downloaded for use in a church bulletin. If your congregation will be participating in the Annual Conference worship service, please send an email to Communications@vaumc.org and indicate the name of your church and district and how many people are expected to participate. The Annual Conference Planning Committee will be holding all participants in prayer.

Annual Conference offering to support Cambodia, Brazil, Mozambique, Virginia
Bishop Young Jin Cho announced that the 2016 Annual Conference offering goal will be $150,000 and again focus on both international and Virginia-based mission needs. The offering goal includes $50,000 for continued commitment to the rapid growth and expanding influence of the Methodist Mission in Cambodia through support for training lay and clergy leadership and building of churches. Another $25,000 is to continue to support the Methodist Church of Brazil programs with at-risk children in cities and communities across Brazil. Another $25,000 is to support our long-term relationship with United Methodist churches in Mozambique, focusing primarily on the vital area of education and development of resources for training laity in two conferences in that country. In Virginia, the goal is $50,000 to fund disaster response, particularly long-term recovery work following Feb. 24 tornadoes in three districts of the conference. Annual Conference members urged to bring '4 Cans 4 Conference' to Roanoke
Each clergy and laity member attending 2016 Annual Conference is encouraged to bring at least four cans of food or boxes of dry food to the session in Roanoke for “4 Cans 4 Conference.” Requested are cans of vegetables, fruit, meat, fish, soup, stew and at least one can with a pop-top. You "can" also bring dry or staple goods, like peanut butter, jelly, cereal, rice or juice boxes. All gifts will benefit the Roanoke Rescue Mission which provides services for the hungry in the Roanoke/Salem area. Goal is 10,000 pounds of canned and dry/staple foods. Kits for UMCOR to be collected at Annual Conference
Various types of United Methodist Committee on Relief (UMCOR) Supply Kits will be collected at the 2016 Virginia Annual Conference session. Kit collection is being conducted to replenish the UMCOR supply. Local churches are encouraged to collect items for any of the most requested UMCOR kits — Bedding, Birthing, Cleaning, Health, Layette, School and Sewing Kits — and bring them to Annual Conference. (Bring kits in boxes (not bags), labeled and with a count of the items.) For kit assembly instructions, go to http://www.umcor.org/UMCOR/Relief-Supplies. Kits should be taken to the two tractor-trailers at the far end of the Roanoke Civic Center Parking lot A, near the intersection of Williamson Road and Orange Ave. (across from the Sheetz Gas Station). Kits will be received 12-5 p.m. Thursday, June 16; 8-5 p.m. Friday, June 17; and 8 a.m.-12 p.m. Saturday, June 18.

Send cash for kits directly to conference treasurer
If you prefer to contribute cash to enable United Methodist Committee on Relief (UMCOR) to purchase relief kits, you can contribute $50 for each bedding, kit; $8 for each birthing kit; $65 for each cleaning kit; $12 for each health kit;  $45 for each layette kit; $11 for each school kit; and $28 for each sewing kit. In addition, UMCOR asks for $1 per kit ($1.50 per cleaning bucket) to cover processing and shipping and $1 for toothpaste for each health kit. Do NOT bring checks to Annual Conference. ALL checks (for processing and shipping, for toothpaste and in lieu of providing kits) should be made payable to “Virginia Conference UMC,” earmarked for “kits” and mailed to Treasurer, Virginia Conference of The United Methodist Church, P.O. Box 5605, Glen Allen, VA 23058 any time prior to Annual Conference, and no later than Aug. 31.

Form to be used to nominate individuals to general church boards, agencies
Enclosed in the Book of Reports mailing to clergy and lay members of 2016 Annual Conference was a blue form to nominate individuals for inclusion in the Southeastern Jurisdiction (SEJ) nominations pool. Each annual conference in the United States elects persons to be submitted to a jurisdictional pool for potential service on general church boards and agencies. Delegates elected to General and Jurisdictional Conference are automatically in the pool. Between 15-45 additional persons can be nominated for purposes of racial, ethnic, disability and age inclusivity. The bishop and the general/jurisdictional conference delegation serve as the “nominating committee” for the SEJ pool. The blue form enclosed in the mailing offers the opportunity to make nominations from the floor. Once nomination forms have been received, the delegation will offer its recommendation during the Saturday morning session of Annual Conference. In order to nominate an individual:
      Nominations must be made in writing using the blue form in the Book of Reports mailing. All listed information is needed, so complete the form carefully.
      All nominees must be professing members of The United Methodist Church and active in local churches.
     DO NOT nominate an individual who has not given his or her consent to have his or her name lifted and agreed to serve if elected. Terms are for four years (with eligibility for a second four-year term), require travel to a minimum of two meetings per year with possible meeting locations outside the U.S. and commitment to the full work of the board/commission to which elected.
     If there is a preference for service on a particular board/agency, please note that in the general information section of the form. The following general church bodies may have openings: Connectional Table, General Board of Church and Society, General Board of Discipleship Ministries, General Board of Global Ministries, General Board of Higher Education and Ministry, General Board of Pension and Health Benefits, United Methodist Publishing House, Office of Christian Unity and Interreligious Relationships, General Commission on Communication, General Commission on Religion and Race and General Commission on the Status and Role of Women.
     Completed forms must be given to Susan Reaves, Conference Secretary, by the end of the Friday afternoon session of Annual Conference. No nominations will be accepted after that time. Volunteers needed in variety of roles for Annual Conference
The 2016 Virginia Annual Conference will be held at the Berglund Center in Roanoke Friday, June 17, through Sunday, June 19. Volunteers are needed to serve as ushers/greeters (especially for Friday night communion); to help with registration; to collect UMCOR Kits; to help unload, set up and/or pack up; direct traffic in the parking lot; assist with the Potato Drop; and collect for 4 CANS 4 Conference. Volunteer by calling the Roanoke District office at (540) 989-3335; e-mailing RoanokeOA@vaumc.org; or registering online at www.signupgenius.com/go/20f0848abaf2ca0fc1-2016. Individuals are also needed who can offer their time and talent in communicating the spoken word to persons who need computer-assisted note-taking in order to be fully included in our Annual Conference sessions. Tasks include typing text of reports, worship and music using Microsoft Word, at times as the speaker is presenting. Good typing speed and accuracy are required. Volunteers are needed during all sessions for shifts of one hour or longer. Annual Conference members invited to join youths in Box 9
The 32-member official Virginia Conference youth delegation (two youths elected from each district) will be sitting in Box 9 of the Berglund Center Coliseum during Annual Conference. The box will hold 60 people, so other Annual Conference members (clergy, laity, young, old) are invited to join the young people and enjoy fellowship. From time to time during Annual Conference a few youths will be swapping seats with some of the District Superintendents and District Lay Leaders who sit in the front rows on the main floor of the coliseum.

Notice required for Annual Conference member changes
If your church/charge or district has a change in Annual Conference member, you need to contact Brenda Capen by e-mail to BrendaCapen@vaumc.org with the new member's name, address, e-mail, district and name of church/charge they represent. If the original member has received the Book of Reports packet, it should be passed on to the alternate member. Changes may be marked on the registration card, and a new name badge will be mailed to the alternate member. If a change occurs after June 10, the alternate member should bring a completed and signed Alternate Lay Member form and the original packet to the Registration Help Desk at Annual Conference. A new name badge and registration card will be printed there.

Annual Conference virtual promo packet posted online
In an effort to be good stewards of the environment and financial resources of the conference, the Annual Conference “promo packets” are virtual again this year. Electronic copies of materials previously included in the tote bag are included in the Virtual Promo Packet, which is posted on the conference website, www.vaumc.org, under Resources > 2016 Annual Conference. Hotel and lunch shuttle services to be available Friday and Saturday
One Abbott Bus Lines motorcoach will provide transportation between the Berglund Center and the Sheraton, Holiday Inn Valley View, Residence Inn and Courtyard by Marriott hotels. Shuttle service will begin on Friday, June 17, at 10 a.m. at the Sheraton, and continue all day with the last pickup at the Berglund Center at 10 p.m. Shuttle service will begin on Saturday, June 18, at 7 a.m. at the Sheraton, and operate continuously all day with the last pickup at the Berglund Center at 10 p.m. There will be no hotel shuttle service on Sunday, June 19.
     Four Commonwealth Coach & Trolley buses will provide lunch transportation between the Berglund Center and downtown. Shuttle service will begin at 11:15 a.m. at the Berglund Center, with continuous service until 2:30 p.m. on both Friday, June 17, and Saturday, June 18. There will be no lunch shuttle service on Sunday, June 19.

♦ Kindred Project Retreat - June 16
Kindred Project, a group of Virginia United Methodist clergy and laity who delight in quiet listening prayer and wish to grow deeper in it and share it with others, is having a retreat in the Annual Conference prayer room in the Berglund Center from noon to 5 p.m. Thursday, June 16. Topic is Celtic Christianity and the Northumbria Community of England led by the Rev. Kimberly Barker-Brugman of Zion UMC in Spotsylvania and Janie Mitchell, lay leader of Del Ray UMC in Alexandria. ♦ Pub Theology - June 16
Pub Theology, a fellowship gathering to listen/discuss theology with Dr. Kendall Soulen from Wesley Seminary, the Rev. Jason Micheli from Aldersgate UMC in Alexandria (who started a Theology on Tap there), and the Rev. Morgan Guyton will be held at 6:30 p.m. Thursday, June 16, at Center in the Square rooftop, One Market Square SE, in downtown Roanoke. This is part of pre-Annual Conference activities planned by the Roanoke District. No pre-registration is required. Cost is $10 and includes heavy hors d'oeuvres. ♦ Potato Drop - June 17
More than 20 tons of potatoes will be dropped at Southview UMC, 3539 Peters Creek Rd., Roanoke, in the pre-dawn hours of Friday, June 17. At 7 a.m., volunteers will be needed to bag and load the donated potatoes so they can be picked up by regional food banks, church pantries, soup kitchens and other local feeding agencies. Co-sponsored by the conference office of Justice and Missional Excellence and the Society of Saint Andrew, a national, nonprofit food salvage hunger-relief program, the potato drop will provide 120,000 to 135,000 servings of food to the region’s poor and hungry. Come get dirty and help bag potatoes for local food banks and still have time to get cleaned up and ready for the start of Annual Conference. ♦ Communications Dinner Seminar - June 17
The Conference Board of Communications will host a dinner seminar this year at Annual Conference 5 to 7:15 p.m. Friday, June 17, in the Berglund Center. Speakers will address the need for churches to communicate in a technology-infused world, with breakout discussions on topics including social media, website design and hosting, blogging and more. Cost is $10 per participant and includes a meal. Questions about the dinner program may be directed to Susan Petrey at susanpetrey@vaumc.org.

♦ Clergy Spouse Luncheon - June 18
The Annual Clergy Spouse Luncheon at Annual Conference will be held at 12:30 p.m. Saturday, June 18, at Greene Memorial UMC, Roanoke. Speaker will be from Rescue Mission Ministries.
