The 2013 session of the Virginia Annual Conference is being held at the Hampton Roads Convention Center in Hampton, Va., Friday, June 21, to Sunday, June 23. Laity and Clergy sessions will begin at 1 p.m. on Friday. First plenary session begins at 3 p.m. Ending time should be around noon on Sunday. (Scroll down for more information.)

Annual Conference potato drop to be Saturday morning
The Virginia Conference Board of Global Ministries and the Society of St. Andrew are co-sponsoring a Potato Drop at Annual Conference at 5:30 a.m. Saturday, June 22, in the Best Lot (at the corner of Pine Chapel Road and Coliseum Drive) in Hampton. It is a five-minute walk from the Convention Center. Volunteers are needed to help bag and load more than 20 tons of donated potatoes to be picked up by regional food banks, church pantries, soup kitchens and other local feeding agencies. Recommendations from the Common Table
The Charter of The Common Table for Church Vitality states the Common Table “serves to coordinate and prioritize the ministries and resources of the Virginia Conference. It nurtures, interprets and promotes the vision of the Conference, as well as the mandates of The Book of Discipline which relate to conference work.” In fulfilling its chartered purpose, Common Table has unanimously approved two recommendations for the upcoming Annual Conference. Recommendations from the Rules Committee
Based on a motion at the 2011 Annual Conference regarding clergy nominations for General Conference and jurisdictional conference, the Conference Committee on Rules will recommend rules changes at the upcoming annual conference. The recommendations also include balloting procedures for both laity and clergy elections in light of an abbreviated annual conference schedule and the use of electronic voting devices at the 2015 Annual Conference. Child care during Annual Conference
Wesley United Methodist Church will be hosting free child care this year, due to the generosity of the York River District. Child care is offered for ages 0-11 and will be offered:
Friday, June 21, 12 Noon-5:30 p.m.
Saturday, June 22, 8 a.m.-5:30 p.m.
Saturday evening, June 22, 7-10 p.m.
Sunday, June 23, 8 a.m.-1 p.m.
Wesley UMC will offer a mini-VBS experience using Cokesbury’s Everywhere Fun Fair VBS during this time. If you you would like to register children for child care, please fill out either the Word or pdf form and e-mail it to Becky Tate at BeckyTate@vaumc.org. Children, youth handprints wanted for Annual Conference
White paper handprints from the children and youths of the Virginia Conference are being collected for use at this year's Annual Conference session. The paper handprints will be made into doves that will be part of the visuals at conference. Sunday school teachers are asked to use white copy paper to trace the outline of your children's and youths' hands and have them write their first name and church name along the curve of the palm. Mail them by April 28 to Christina Perkins, 209 Main St., Renwick, IA 50577. "I am hoping for several hundred hand prints," Perkins said, "so no matter how few or how many you send, I would like them all." Perkins serves on the Virginia Annual Conference worship planning team, but is currently serving an on-loan appointment in Iowa for family reasons. Harry Denman Evangelism Awards
The Virginia Annual Conference is accepting nominations for The Harry Denman Evangelism Award for clergy, laity and youth. The Harry Denman Evangelism Award recognizes a person whose life and ministry exemplifies the teaching of Christ and the Great Commission. Recipients of these awards, nominated by individuals, churches, or districts, and selected by the Annual Conference, live their call to “Offer Them Christ” daily as modeled by Dr. Harry Denman, founder of The Foundation for Evangelism that sponsors these awards. Award recipients will be announced at the Annual Conference session. Virtual Promo Packet
In an effort to be good stewards of the environment and financial resources of the conference, Annual Conference “promo packets” will again this year be virtual. Electronic copies of materials previously submitted in hard copy for the tote bag will be accepted – at no cost to the organizations submitting them – for inclusion in the Virtual Promo Packet, which will be posted on the conference website, www.vaumc.org under Resources>2013 Annual Conference Information. The Virtual Packet will be available for viewing on the website beginning June 1. Those organizations still wishing to disseminate their information in a hard-copy format may arrange for a display table at the Hampton Roads Convention Center by contacting Larry Brayton at (804) 517-0435 or email@example.com; display guidelines and a Display Request form are also available on this page. Information for the Virtual Promo Packet needs to be submitted in pdf format to the office of Connectional Ministries (BevMyers@vaumc.org) for approval by Friday, May 3.

This year the Annual Conference special offering goal is $200,000. Bishop Young Jin Cho is requesting funds to support projects to help children in four countries:
BRAZIL – Shade and Fresh Water program for at-risk "street" children: $50,000
MOZAMBIQUE – Classroom construction and building repairs for Janene Pennel Secondary School: $50,000
CAMBODIA – Christian education materials, scholarships and other projects with children focused on growing the young church: $50,000
VIRGINIA – $50,000 divided among three children's ministries: One Family “Una Familia,” a new Eastern Shore District tutoring ministry for Hispanic children; The Henry Fork Center in rural Franklin County; and All God’s Children Camps for children of incarcerated parents.

Per Diem Voucher and EFT Payment Information Request for Annual Conference
By conference action, retirees, persons receiving their first appointment, and eligible others listed in the Book of Reports are authorized to receive reimbursement for expenses to attend Annual Conference, not to exceed $100 per day and subject to limitations of conference approved rates. Vouchers will be included with the Book of Reports mailing or can be obtained by clicking here (pdf). The Conference Treasurer’s office is encouraging all reimbursements to be made by direct deposit. Instructions are attached to the voucher to make provisions for direct deposit. Vouchers will not be accepted after July 31.
